How do you handle transport for a conference?

We split it into three flows: delegate arrivals and departures at the airport, the daily loop between hotels and the venue, and VIP movements. You send the venue, dates, head count and flight schedule. We return a transport plan with vehicle types, timings and a quote. One named coordinator then runs it, and the desk answers 24/7 on WhatsApp and phone during the event.

Do you plan the whole event?

No. Assure does not plan or produce events, book venues, or run registration. We provide the transport side only: cars, vans, minibuses and buses with drivers. If you already have an event agency or DMC, we work from their schedule and share one transport plan with them.

Can you run shuttles between hotel and venue?

Yes. A shuttle loop runs on a fixed timetable between the delegate hotels and the venue gate, for example every 15 or 20 minutes at the morning peak. Vans and 13 or 19-seat Sprinters are in the Assure fleet. 22 to 50-seat buses come through our partner network, subject to availability.

How do delegates get from the airport to their hotels?

Each delegate is met in arrivals by a driver holding a name board. Groups arriving on the same flight can share a van or minibus. Send the flight numbers early, because the driver follows the real landing time. The airport pickup rules for Dubai International are on our DXB page.

Can the same chauffeurs look after our VIP speakers?

Yes. Speakers and senior guests can have a chauffeur car for the whole event, with the same driver each day where the schedule allows. Ask for it in the brief. Cars such as the Mercedes S-Class and BMW 7 Series are in the Assure fleet.

Do you invoice companies and agencies?

Invoicing and credit terms are agreed in writing in the proposal, and they depend on your account. Send your company details with the brief. If you are an agency that books for several clients, the travel trade page explains how a trade account works.

What do you need in the event brief?

Send the venue, event dates, expected head count, arrival and departure flights if known, the hotels in use, and any VIP or accessibility needs. Rough numbers are fine at first. We refine the plan as your delegate list firms up.

Assure sells transport, not event production. If you need a venue, staging or catering, that sits with your event agency. If you need delegates collected, moved and returned on time, that is our part.

What we move at a conference or exhibition

Delegate arrivals. A driver meets each delegate in the arrivals hall of the terminal, name board in hand. See how this works at Dubai International.
Hotel to venue loops. A van or bus runs between the hotels and the venue gate on a set timetable.
VIP chauffeurs. Speakers, sponsors and senior guests get a car and driver. The VIP and executive chauffeur page covers the standards.
Exhibition days. Exhibitors with stands to build and kit to carry need vans, not sedans. We plan early load-in runs separately from delegate runs.
Incentive trips and corporate tours. Day trips for a group, such as Abu Dhabi or the desert, with a coach or minibus and a driver. Team-building days that sit outside the city need a transport leg too.
